The Administrative Assistant plays a critical support role in ensuring efficient administrative operations within the organization. This individual is responsible for managing incoming and outgoing mail, processing faxes, scanning documents, and maintaining accurate filing systems. The role requires strong attention to detail, organization, and the ability to handle confidential information in a healthcare environment.
What You'll Do:
- Manage Incoming & Outgoing Mail: Open, sort, distribute, and prepare daily mail, ensuring timely routing of payments, EOBs, patient correspondence, and insurance documentation to the appropriate departments.
- Process Faxes & Electronic Documents: Retrieve, review, and distribute incoming faxes; identify urgent items; and ensure accurate scanning and indexing of documents into the EMR or shared drive systems.
- Maintain Organized Filing Systems: Accurately file and maintain physical and electronic records, support document retrieval for audits, and ensure proper record retention in accordance with company policies.
- Ensure Accuracy, Confidentiality & Compliance: Handle all documentation with a high level of detail and professionalism, maintaining HIPAA compliance and safeguarding sensitive patient and financial information.
- Other duties may be assigned.
Qualifications:
- High school diploma or general education degree (GED)
- Minimum one year of related experience and/or training.
- Proficiency in all Microsoft Office programs
- Excellent time management skills and ability to prioritize tasks
- Attention to detail
- Strong organization skills with the ability to multi-task
Compensation Package:
- Starting at $18/hour, with compensation adjusted based on experience, skills, and role alignment
